Privacy Statement

Your privacy is important to Directors & Professionals Limited (‘D&P’). This privacy statement provides information about how D&P gathers and uses personal information.

D&P is committed to respecting the personal data you supply to us. The information we collect will be relevant to the purposes for which this information is to be used, and we will do our utmost to ensure that all data provided to us is maintained by us in the same format as it was received, having high regard to maintaining its completeness and accuracy. Whenever personal data is obtained from you, you will have access to information as to how that data will be used.

Any relevant data supplied by you will be held on the D&P database and will only be used, when it is thought appropriate by D&P to communicate to you information about our Services or Products which we consider you may find of interest. All communications of any information about the Services or Products provided by D&P will be at the complete discretion of D&P and no liability either directly or indirectly will be accepted by D&P where it is alleged that any entity has suffered a financial loss because D&P did not communicate any such information about any of its Services or Products. D&P does not sell, trade or rent your personal information to any individual, partnership, company or other organisation.

Please rest assured that D&P takes the privacy of the users of our Website very seriously and is committed to protecting your privacy on-line. At D&P, we appreciate that you do not want the personal information you provide to us distributed indiscriminately and here, we explain how we collect information, what we do with it and what controls you have.

So that we can provide a personalised service, you may be requested to complete in detail information pertaining to various classes of insurance protection and some questions will require that you submit information such as your name, e-mail address, postal address and telephone number or ask you various questions about your business. Please note, you are under no obligation to provide such information. However, if you should choose to withhold requested information, we may not be able to provide you with or complete our Service.

We will use the information you provide to us to:

  • Identify visitors/browsers to our website and collate statistics in this regard;
  • respond to enquiries for information relating to our Services and Products;
  • inform you about any functionality changes to our website including Link, up-dates;
  • send you information we think you may find useful, including information about our Services or Products or other items of interest.

Where this website contains hyperlinks to other websites, D&P cannot be responsible for the privacy policies of other websites, even if you access them using links from the D&P website and we request as well as recommend that you check the privacy statement of each website you visit, prior to providing any private data to the owners/operators/controllers of those websites.

If you link to D&P website from a third-party website, we cannot be responsible for the privacy policies of the owners/operators/controllers of those third-party websites and recommend that you check the privacy statement of that third-party website. Contact its owners/operators if you have concerns or require further clarification of how your data may be used.

D&P is not responsible for any transaction you enter into with a third-party website even if you access them using links from the D&P website. Consequently, if you purchase Services or Products from a third-party website, all obligations contractually between you and the third-party provider, will be explicitly between you and that third party and D&P will have no contractual obligations, either directly or indirectly with you and/or the third party provider.

By using the D&P website, you consent to the collection and use of this information by D&P and your acceptance of the information and content of the D&P Privacy Statement.  If we change our privacy statement we will post these changes on our website. If the change in our privacy policy affects the use of your personal information, then we will use our best endeavours to contact you to obtain your consent to the use of this information, however this information will not be released under any circumstances until such time as we receive your consent.

How we will use the data you give us:

We will use your data because it is both fundamental and necessary for us to be able to administer your insurance contract(s), arrange new insurance contracts on your behalf, assist you in complying with any insurer or parties acting on behalf of your insurers and/or insurance providers in respect to their requirements and/or subjectivities, provide you with information that will assist you in managing your risk exposures and most importantly,   assist you in the unfortunate event you may have to make a claim. Where we need to pass data to other parties, it will only be for that purpose. These parties will be Insurers, managing general agents, other insurance brokers and/or other insurance intermediaries, specialist firms that can provide assistance in respect to managing your risk exposures, price comparison sites and other parties that provide assistance with the handling and processing of matters associated with the settlement of claims. It will also include parties involved with the provision of finance as well as other parties that assist us in the processing or administering of our records.

When we make contact with you, it will either be for the above reasons, or because we have a legitimate interest in marketing related products that we consider you should be made aware of, so as to keep you informed as to the products and services that are available and will assist you in managing your risk exposures. In respect to any other marketing where contact may be made with you, it will only be with your consent and in this regard, you will be able to withdraw your consent at any time.

If for any reason we are required and/or requested to transfer your data to a third party in any country outside the EU, we will only do so, if a similar level of protection as stated above, applies in that country.

If we need to obtain and/or transfer data which is by its nature and content considered sensitive, we will only do so on the basis that it is a standard requirement for all parties that we may provide your data to, that it is considered to be in the public interest - for example,  to assist in the prevention of crime, the prevention of activities of a fraudulent nature, to assist with the compiling of statistics where it is considered this information will assist the purchasers of insurance in respect to managing their risk exposures, or on occasions to make appropriate enquiries as to the availability and/or suitability of products provided by various insurance related providers.

What type of personal data do we need?

  • In certain circumstances, we may need to obtain personal details, which might include information containing details about your fellow partners, directors, employees, consultants and or sub-contractors you may engage the services of, members of your family, other associates that you are connected to or engage to perform duties on your behalf, which might extend to include lifestyles, information which might affect the considerations of an insurance provider to accept or decline a risk being proposed for insurance, financial  business or education history.

  • We will collect only what is necessary and/or is required of us by insurers/authorities/other parties to which we might be obliged to obtain information relevant for their considerations, in performing our duties. It will only be kept for as long as it is necessary, in line with our data retention policy and/or other statutory pre-requisites.   • Depending on the work we are undertaking on your behalf, we may need to obtain data about Race or Origin, Gender, Religion, Health, Politics, Genetics, Trade Union Membership, Sex or Sexual Orientation.

  • Because the duty of disclosure of all relevant material facts that may affect the considerations of an insurer to accept a risk being proposed for insurance, or decline the risk and upon which terms may be offered to the proposer of the risk, we might need to request details of a sensitive nature, such as criminal convictions, insolvency issues, previous claims history and other information which might be considered material to an insurer’s considerations.

  • We gather this information from data/communications you provide to us, and this could be the data submitted to our and/or parties acting on our behalf’s website(s), by telephone, face to face, by email or text or other social media platform, by letter or other form of communication.

  • You have the right to complain to the Information Commissioner at www.ico.org.uk, Tel 0303 123 11132.
  • You can obtain a copy of your personal data from us without charge by contacting D&P at our registered address. This may include the right to transfer data to other providers.
  • You have the right to ask D&P to correct any data held on file that you consider not to be correct.
  • You have the right to ask D&P to delete your data or stop using it, unless it is necessary for us to retain it for insurance or financial purposes, as set out in our document retention policy, or is a legislative requirement.
  • You may have the right to object if decisions about you are made solely by an automated process which may include profiling.
